📋 Requirement Details
Req 2.92: All system-generated logs, reports, and records containing personal data shall comply with DepEd’s forthcoming policies on data retention and security. The Supplier shall ensure that personal data is deleted or anonymized after the prescribed retention period.
⚙️ Technical Demonstration
IMTLazarus completely satisfies this requirement by incorporating flexible, policy-driven data retention and data-cleansing mechanisms within its data processing layer. The platform is engineered to align dynamically with DepEd’s administrative mandates, ensuring that all telemetry, system logs, and records containing personal data are managed strictly according to your specified compliance timelines:
- Forthcoming Policy Alignment: Rather than enforcing hardcoded, unchangeable data deletion windows, the system’s data lifecycle parameters are fully configurable. Upon the formal issuance of DepEd’s forthcoming data retention and security policies, the platform’s retention schedules can be adjusted globally or tenant-by-tenant to mirror the mandated timeframes.
- Automated Deletion and Anonymization Workflows: Once personal data or device logs cross the prescribed retention threshold, the platform executes automated background maintenance routines. Data is either permanently purged from database tables using secure erasure protocols or structurally anonymized—stripping out personally identifiable information (PII) while preserving non-identifiable, aggregate metrics for historical trend reporting.
- Secure Log Isolation: All system-generated audit trails, user access records, and web-filtering histories containing personal data are isolated within secure storage partitions, utilizing encryption standards that prevent unauthorized tampering or exposure prior to their scheduled lifecycle expiration.
Data Retention Configuration Blueprint
To support compliance audits, the platform utilizes an adaptive data lifecyle framework managed at the administrative tier:
| Data Category | Target Retention Threshold | Enforced System Action | Compliance Objective |
| Personal Identifiers & Profiles | Defined by forthcoming DepEd policy | Automated Database Purge / Scrubbing | Eradicates stale identity mapping once an asset or user account is decommissioned. |
| Activity Logs & Web Telemetry | Configurable (e.g., 90 / 180 / 365 Days) | Irreversible Anonymization | Strips specific PII while maintaining broad, aggregated analytics for institutional reporting. |
| System Security & Audit Trails | Mutually agreed operational term | Secure Archiving & Deletion | Preserves administrative intervention histories for accountability before final secure disposal. |
